Privacy Policy

How Synpria collects, uses, and protects information when you use the platform, the driver mobile app, and our websites.

01 Scope

This policy applies to Synpria, Inc. ("Synpria," "we," "us") and the products we operate under the Synpria brand — the web platform at support@synpria.com, our driver mobile app for iOS and Android, the public website, and integrations we offer with carriers, brokers, factoring partners, and ELD providers.

If you are a driver or employee at a company that uses Synpria, your employer is the data controller for most of your operational data. Synpria acts as the data processor on their behalf.

Plain-language summary — Your fleet's owner controls dispatch records, payroll exports, and load history. We hold them, but we don't sell them or share them outside the platform without instruction.

02 Information we collect

Account & identity

  • Name, email, phone, DOT/MC numbers, and role (dispatcher, driver, owner, accountant)
  • Authentication metadata — login times, IP address, device fingerprint, multi-factor tokens
  • Billing contact and tax IDs for paid plans

Operational data

  • Loads, rate confirmations, BOLs, invoices, and dispatch history
  • Driver hours of service, log edits, and DVIRs synced from your ELD provider
  • Maintenance records, fuel transactions, and IFTA mileage

Device & telemetry

  • GPS coordinates from the driver mobile app while on duty
  • App version, OS, network type, crash reports, and performance traces

03 How we use it

You own your customer data — loads, drivers, invoices, payroll, and the records you upload or generate using the Service. You grant Synpria a limited license to host, process, and display the data solely to operate the Service for you.

  • Run dispatch, fleet, finance, and compliance modules you've enabled
  • Train and run AI features — anomaly detection, profitability forecasting, dispatch suggestions — using your fleet's own data, scoped to your account
  • Send transactional notifications (load updates, payroll, expiring documents) via SMS, email, and push
  • Maintain audit logs as required by FMCSA, IFTA, and your insurance carriers

We do not use customer operational data to train shared, cross-customer AI models. AI personalization stays within your tenant.

04 Sharing & disclosure

Synpria shares data only in these cases:

  • With your direction — when you connect a broker, factoring company, fuel-card issuer, ELD, or load board, we exchange the data required for that integration to function.
  • Service providers — cloud infrastructure (AWS), email/SMS delivery, payment processing, error monitoring. These vendors are bound by data-processing agreements.
  • Legal & safety — to comply with subpoenas, court orders, or to protect drivers and the public from imminent harm.
  • Corporate transactions — in a merger, acquisition, or insolvency, with notice to affected customers.

We do not sell personal information, and we do not run advertising on the platform.

05 Location & ELD data

The driver mobile app collects location only while the driver is on duty or has explicitly checked into a load. Background tracking is off by default and can be disabled by the driver from the app or by their fleet manager from the admin console.

Hours-of-service records synced from your ELD provider are stored for the period required by 49 CFR § 395.22 (six months minimum) and are exportable in FMCSA standard format on request.

06 Retention

  • Account & billing records — for the life of the account plus 7 years
  • Operational records (loads, invoices, payroll) — 7 years (matching IRS / DOT retention)
  • ELD & HOS logs — 6 months online, archived for 3 years
  • App telemetry & crash reports — 90 days

07 Security

Synpria is SOC 2 Type II audited. All data is encrypted in transit (TLS 1.3) and at rest (AES-256). We enforce SSO, role-based access, and field-level visibility controls — payroll figures, margins, and rate detail can be hidden from any role.

Access to production systems requires hardware-key MFA and is logged. We run quarterly third-party penetration tests and publish the executive summary on request.

08 Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your personal information. To make a request, email support@synpria.com from the address on your account, or use the in-app data export tool.

We respond to verified requests within 30 days. California residents have additional rights under the CCPA/CPRA, including the right to know what we collect and the right to opt out of sale (we do not sell).

09 Children

Synpria is a workplace product and is not directed to anyone under 16. We do not knowingly collect information from children. If you believe a child has used the platform, contact us and we will delete the account.

10 Changes to this policy

If we make a material change — for example, a new category of data collection or a new sharing relationship — we will notify account owners by email at least 30 days before it takes effect. Routine clarifications are listed in the changelog with a new effective date.
